There's no doubt or dispute that Excel is great for a lot of things. But when you start hiding dozens of applications, hundreds of spreadsheets, and the added obligation to comply with GDPR, it becomes more of a minefield than a tool. This is not the only reason why the Innovation Centre of the Ústí nad Labem Region decided to opt for Tabidoo instead of chaos. And so it innovated itself.

Having processes on salami is not cool. And having messy grant applications isn’t cool either. Thanks to Tabidoo we brought clarity, speed and the ability to adapt to current legislation to the Innovation Centre of the Ústí nad Labem Region, where chaos soon disappeared and clarity was gained.

The Innovation Centre of the Ústí Region (ICUK for short) was established with the cooperation of the university, the region and the chamber of commerce to promote entrepreneurship and attract startups to the Ústí Region. It currently runs a startup incubator, organises public events and connects businesses, schools and others in the region.
In order to “not drink the wine and preach the water“, so to speak, the Innovation Centre has embarked on digitising its processes in cooperation with our partner, Chorizo Lab, which won the tender. Chorizo Lab knows very well that having processes on salami is not cool, which is why it focuses on process automation, digitalization of companies and development of web or mobile applications.
The main challenge in the digitalization was the need to build a system for managing grant applications that is not only clear, but above all complies with legislative and organizational requirements. These change over time, so it was crucial to have a flexible tool that could adapt quickly to any changes.
Neither Excel nor Google docs met the legal needs for strict grant approval standards. In addition, many people were entering the process, so it was key to set up roles really thoroughly. And neither of the tools mentioned allowed this. The need to strictly adhere to GDPR and public space rules or the need to have a notification system to keep participants informed about the status of applications were other challenges on the imaginary list that ICUK and Chorizo Lab had to face.
When considering several alternatives on the market, the choice fell on Tabidoo – a system that you don’t have to adapt to, but that adapts to you and your requirements. However, flexibility was not the key thing that played a role in the choice. The Czech localisation, compatibility with Czech legislation and a good price/performance ratio were also decisive.
Multiple implementations in one single solution
Bottom line – the system was ready within a few months and fully met the needs of the Innovation Centre of the Ústí nad Labem Region.
Innovation on behalf of Tabidoo brought control over the entire application process. In addition to the fact that the applications are kept clear in real time, all legislative requirements (whether GDPR or public sector rules) are also met. The notifications set up speed up collaboration and eliminate delays, which has resulted in minimising the chaos that was found between documents and spreadsheets.
