The leading Czech architectural studio uses Tabidoo for its operation. Mr. Srch, Executive Assistant to the CEO, talked in a case study about what exactly Tabidoo solved as a challenge and how Tabidoo became an integral part of the company.

Introducing A8000

Ateliér A8000 has been one of the leading Czech architectural studios for more than three decades**. Currently it has its base not only in Prague, but also in České Budějovice and Brno. In terms of its work, the atelier is dedicated to small projects, including interiors, as well as large projects, which are becoming the focus of the entire company and which are related to its gradual growth.

Strong original work, emphasis on artistic concept and setting in context (i.e. for individual projects to make sense in space, to have a social and economic impact) – these are the three specific characteristics of the manuscript for which Ateliér A8000 is known.

Challenges

Daniel Srch, Executive Deputy CEO, joined the company for one purpose only – to be directly involved in the development of the studio. But not architecturally, but operationally. So the mission was set, and upon arrival an initial audit was conducted, which showed that the initial conditions in terms of the operation of the information systems were very similar to many other companies. Large platforms were implemented (usually accounting and then a project management and order clearance tool). All the other needs that a company typically has, these were partly fulfilled by Excel, some were administered on other IT platforms.

The result corresponded to something that is perhaps sustainable up to a certain size of company. However, given Atelier A8000’s ambitions, these solutions were not viable in the long term. The ability to automate as well as the ability to connect the different platforms via APIs was missing.

Collaboration with Tabidoo

The solution to the situation took several forms – one way was to research classic large solutions such as HR systems, ATS systems, project tools and then somehow implement or connect them via API, the second way was to develop a customized system, which in the end proved to be too difficult not only for the time, the third and also the right direction was Tabidoo.

Tabidoo was encountered at a trade fair on digitalization, where Mr. Srch was introduced to the basic concept. After careful consideration with his colleagues, Tabidoo won out, at least for the initial moment. Tabidoo meant low initial costs and also did not invite any significant time commitment. It was always possible to walk away from this solution and take a different path.

Very soon, a closer look at Tabidoo was made. The basic structure of the platform began to be explored, a feel for the system, how it actually worked, the ease of the system and the user-friendliness were revealed. The very first stages of the system were set up during the public transport journey from home to work. It was in public transport that the basic structure of the first application was established and proved to be viable.

Result

During the early stages of all the changes in A8000, it was important to address processes, roles and responsibilities. This was part of the reason for the effective implementation of the new system that Tabidoo was. This was to such an extent that it supported the overall efficiency of all team members, who started working faster and error-free thanks to Tabidoo.

The overall complexity of preparing, launching and implementing the first application took only a few months, which crystallized into one thing – Tabidoo became a key platform or complex information system for the entire company. The pricing model, i.e. not paying per user but per license, also helped in the final decision. In addition, the security of the system (Tabidoo is backed up, cloud-secured, meets all possible ISAs).
