Yes, the JPF Czech one, which focuses on managing companies, jump-starting growth and ensuring long-term development of companies, has decided to set a personal example itself. And there are no plans to return to the original solution.
Their area of expertise is interim management, restructuring and revitalization of companies. Their adversaries tend to be ego, zero strategy, fixed mindset and often an empty corporate account. Their priority is to create profit and positive cash-flow of companies as well as stabilization and growth of the team – JPF Czech s. r. o. has been helping to build prosperous and stable Czech and Slovak companies for several years. Plexima.io improves business and marketing results through automation and implementation of appropriate business systems. It specializes primarily in automating routine activities, sharing data across all applications, without using code. That’s also why it found its way to us, to Tabidoo – because Tabidoo doesn’t need coding.
Before implementing Tabidoo, JPF Czech faced several challenges – they wanted to bring the company’s regular management processes, billing, communication and overall contract management to a more efficient level. Interim managers were using Google Sheets to manage timesheets, each project had its own separate Google document, which led to data fragmentation. The numerous manual steps were not only time consuming but also error prone.
Invoices were created manually, based on the aforementioned Google Sheets data. This again led to a high risk of errors and delays in all processing steps. Interim managers often created their own invoices based on company documents.
There was a lack of centralised project records, which made it very difficult to keep track of and manage projects. Contracts were handled entirely by manual copying from Word documents, and were also manually signed and sent.
In order to minimize the problems and potential crisis that could have arisen from the lack of clarity and chaos, JPF Czech anticipated these scenarios by implementing Tabidoo and automated it in several stages.
In collaboration with Plexima.io, automation was achieved on two levels – data from Google Sheets was moved to Tabidoo, which allowed the centralization of information about projects, interim managers and their performance. Following this, there was also automation through the Make platform, a partner of Tabidoo, which ensured regular updates of Google Sheets data. And a significant reduction in manual work was on the table.
Every action triggers a reaction. And the advent of the new solution elicited several positive reactions. Primarily, there has been an overall increase in process efficiency and better visibility not only of all projects, but also of hours worked and costs. The ability to quickly evaluate the performance of interim managers and the profitability of their projects has been gained. Dozens of hours per month that were normally spent on administrative activities were eliminated.
Communication has improved significantly. The centralized system has ensured that all team members are working with up-to-date data and interim managers have clearly defined approaches to their projects, increasing their productivity. Invoices are now automatically generated based on the timesheets recorded, the Managing Director can carry out review and approval much faster. Overall, the error rate has been reduced and room for future growth has been paved as Tabidoo allows more and more functionality to be added at any time according to current needs.
Tabidoo is not a stagnant solution. On the contrary, it grows with the company. Even in the case of JPF Czech, it is ready to grow with the company. Plans are in place to extend the functionalities (especially with modules for document management, KPIs and control days of interim managers) or to use Tabidoo as a basic platform for integrating other processes and streamlining their management (e.g. connection to CRM).
